GENERAL TERMS AND CONDITIONS OF PARTICIPATION AND ACCOMMODATION

IBERCUP

PREAMBLE
Participation in any IberCup tournament implies the full, irrevocable, and unconditional acceptance of these Terms and Conditions by all Clubs, Team Officials, Athletes, Parents, and Accompanying Persons. These Terms govern all reservations, registrations, and services provided by IberCup, including competition participation, accommodation arrangements, and logistical services associated with the event. IberCup reserves the right of admission and the right to deny or terminate participation when these Terms are not respected.

CHAPTER I – REGISTRATION AND FINANCIAL MANAGEMENT

Clause 1 – Confirmation and Initial Payment
Compliance with financial deadlines is a fundamental condition for maintaining the reservation and the right to participate in the tournament.

Reservation Payment:

  • Non-Local Teams (with accommodation): €4,000 per team
  • USA Teams: $4,000 per team
  • Local Teams: 20% of the total registration fee
This reservation payment is non‑refundable in the event of withdrawal. Payment must be completed within 15 days after registration.

Clause 2 – Payment Schedule
  • Second Payment: 50% of the total amount must be paid 90 days before the tournament start date.
  • Final Payment: 100% of the total amount must be paid no later than 60 days before the tournament start date.
If the outstanding balance is not settled within the 60‑day deadline, IberCup reserves the right to cancel the reservation and tournament participation without refund of previously paid amounts.

Clause 3 – Financing and Reservation Reactivation
IberCup will not advance payments to accommodation providers or other suppliers on behalf of participating teams.
If a cancelled reservation is requested to be reinstated, a new quotation may be issued according to market prices at the time of reactivation.

Clause 4 – Payment Methods
Bank Transfer: All transfer fees must be paid by the sender (OUR instruction). Transfers must include reservation reference and team name.
Credit Card: Payments by credit card are subject to a 5% administrative fee.
Brazilian Teams Exception: Payments through the Brazil account may include the following fees: Debit 3%, Credit single payment 4%, Installment credit 6%.

Clause 5 – Communication and Payment Structure
Teams must appoint one responsible person to manage all financial transactions and communications with IberCup.
Individual payments made by players or families instead of a consolidated team payment will incur a 20% administrative fee per transaction.

CHAPTER II – CANCELLATION POLICY

Clause 6 – Team or Participant Withdrawal
  • More than 90 days before the event: Refund may be granted excluding reservation payment and non‑recoverable costs.
  • Between 89 and 60 days before the event: Penalty of 50% of the total reservation value.
  • Less than 60 days before the event: No refund will be issued.

Clause 7 – Medical Exception
If an individual participant cancels due to medical reasons less than 60 days before the event with a valid medical certificate, the refund will be limited to €100 per participant.

Clause 8 – Force Majeure
IberCup is not responsible for financial losses or additional expenses resulting from cancellations caused by force majeure events such as natural disasters, strikes, war, or government restrictions.

Clause 9 – Pandemic Policy
  • Cancellation 60 days before the event: refund minus 10% administrative fee.
  • Cancellation 30 days before the event: refund minus 20% administrative fee.
  • Cancellation less than 30 days before or during the event: no refund.

CHAPTER III – ACCOMMODATION

Clause 10 – Check‑In and Check‑Out
  • Check‑in from 14:00.
  • Early arrival may require booking an additional night.
  • Check‑out until 12:00.
  • Late departures may result in an additional night charge.
Accommodation access is granted only after full payment and security deposits have been settled.

Clause 11 – Bungalow Accommodation
  • Occupancy based on 4 or more participants.
  • At least one double bed per unit.
  • Teams may be distributed across different areas.

Clause 12 – Hotel and Hostel Accommodation
  • Occupancy based on 3 or more participants.
  • Rooms may include sofa beds or foldable beds.
  • Teams may be placed on different floors depending on hotel capacity.

Clause 13 – Family Accommodation
Families who do not book accommodation through IberCup may lose access to official transportation and specific tournament facilities.

Clause 14 – Rooming List
Teams must submit the rooming list 30 days before the tournament. Late submissions may result in a €10 penalty per participant.

Clause 15 – Tourist Taxes
  • Bungalows: €4 per person per night.
  • Hotels: €2 per person per night.
  • Applicable to participants over 13 years old for a maximum of 7 nights.

CHAPTER IV – SECURITY DEPOSITS

Accommodation Deposit
€500 per team covering damages to accommodation facilities or transportation. Returned within 5 days if no damage is reported.

Logistics Deposit
€150 per team with a maximum of €1,000 per club.

School Accommodation Deposit
€500 per team. Clubs with four or more teams may be required to deposit €2,000.

Local Teams Deposit
€150 per team to be paid up to 45 days before the event.

CHAPTER V – TRANSPORT AND TRAVEL
Airport transfers are not included unless explicitly contracted.
Flight information must be submitted 45 days before arrival.
Public transport access may be provided through IberPass for the Cascais–Lisbon train line.
Airport taxes and fuel surcharges are not included in base flight packages.

CHAPTER VI – ACCREDITATION
Online accreditation must be completed 30 days before the event.
Players must upload identification documentation and a valid photograph to obtain a Virtual Player Card.
Players without validated accreditation are not eligible to play.
Credential replacement costs €5 per unit.

CHAPTER VII – CONDUCT AND DISCIPLINE
Team leaders are responsible for the behaviour of players and supporters.
Silence is mandatory in accommodations between 22:00 and 08:00.
Alcohol, tobacco, and drug use are prohibited in school facilities.
Violations may result in expulsion from the tournament and loss of deposits.

CHAPTER VIII – SPORTS LOGISTICS
Water points are available at pitches. Teams are responsible for their own bottles.
Changing rooms operate on a quick rotation system for changing only.
Showers are not permitted at sports complexes.
There are no secure lockers at venues.


CHAPTER IX - NEWSLETTER SUBSCRIPTION
By subscribing to the IberCup newsletter, the user agrees to receive periodic communications from IberCup related to tournaments, programs, events, offers, and other relevant updates.

1. Consent
Subscription to the newsletter is voluntary and requires the user’s explicit consent. By submitting the subscription form, the user confirms that they agree to receive electronic communications from IberCup.

2. Type of Communications
Subscribers may receive communications including, but not limited to:

  • Information about IberCup tournaments and events
  • Updates on programs, pathways, and initiatives
  • Promotional offers and announcements
  • News and content related to IberCup activities

3. Data Processing
Personal data provided for newsletter subscription, such as name and email address, will be processed in accordance with IberCup’s Privacy Policy and applicable data protection laws, including the General Data Protection Regulation (GDPR), where applicable.
The data will be used solely for the purpose of managing and delivering newsletter communications.

4. Unsubscribe
Users may unsubscribe from the newsletter at any time by:

  • Clicking the unsubscribe link included in each email, or
  • Contacting IberCup through the official contact channels

Unsubscribing will not affect the lawfulness of processing based on consent before its withdrawal.

5. Data Retention
Personal data will be retained for as long as the user remains subscribed to the newsletter or until a request for deletion is made, unless a longer retention period is required or permitted by law.

6. Third-Party Services
IberCup may use third-party email service providers to manage and send newsletter communications. These providers process personal data on behalf of IberCup and are required to comply with applicable data protection regulations.


CHAPTER X – FINAL PROVISIONS

Travel Documentation and Transportation Responsibility
Participants are responsible for arranging their travel including flights, visas, passports, and insurance. IberCup is not liable for participation failures due to travel disruptions or visa denial.

Event Modifications
IberCup may modify schedules, venues, accommodation arrangements, or competition formats due to operational requirements or circumstances beyond its control.

Competition Structure
IberCup reserves the right to merge categories, modify formats, or cancel divisions if the minimum number of teams is not reached.

Health and Safety Regulations
Participants must comply with safety regulations from IberCup, local authorities, and venue operators. Failure to comply may result in exclusion.

Package Exclusions
Tournament packages do not include personal expenses, airport transfers unless contracted, transport outside the official network, sports insurance, or tourist taxes.

Third Party Services
IberCup is not responsible for services contracted directly with external providers.

Severability
If any clause of these Terms is declared invalid, the remaining clauses remain in force.

Applicable Law
These Terms are governed by Portuguese law. Disputes shall fall under the jurisdiction of the courts of Lisbon, Portugal.
